Please do not send symptoms or other medical details by email. For urgent symptoms, call 911 or your local emergency number. |
What This Doctor Signature Includes
Each item below is already in the template. Replace the sample details with your own and adjust the note to your practice's policy.
Degree after your name
The name line carries your degree (MD, DO), so recipients see your qualification without looking you up.
Specialty, clinic and department
Your specialty and clinic sit under your name, with your center or unit on its own line.
Patient email note
A short note under your contact details asks patients not to email symptoms and points them to emergency services for urgent problems.
Tappable phone and website
Your direct line and clinic website are real links, so a patient reading on a phone can tap to call.
Common Email Client Quirks (And How We Solve Them)
Email signatures frequently collapse in Gmail, Outlook, or Apple Mail. Here is how our compiled HTML prevents formatting disasters.
Issue:On laptops set to 125% or 150% display scaling, desktop Outlook can show a photo at its original file size and push the signature apart.
Issue:Gmail rejects a signature over its size limit with 'The signature is too long'.

Best practices for Doctors & Physicians email signatures
Write your name the way patients see it elsewhere
Use the same name and degree that appear on your clinic website and patient portal, so patients and referring doctors recognize you at a glance.
Send patients to the right channel
If your practice has a patient portal or an appointment line, put it in your signature. Patients then know where to send questions instead of replying with symptoms.
A patient note costs little space; banners cost a lot
Measured with this template: a 124-character patient note adds about 370 characters to the signature code. A promotional banner adds about 2,600, enough to push most of our templates past Gmail's 10,000-character limit.
Frequently Asked Questions for Doctors & Physicians
Does a confidentiality disclaimer make my email HIPAA compliant?
Not by itself. HHS says the HIPAA Privacy Rule allows providers to email patients if they apply reasonable safeguards, such as checking the address before sending, limiting how much health information goes into an unencrypted message, and offering another way to communicate if the patient prefers. Those safeguards are about how you send, and a signature notice is not one of them. Follow your organization's email policy.
What should a doctor's email signature include?
Your name with your degree, your specialty, your clinic or hospital, your department or center, a direct phone number, your clinic website or patient portal, the clinic address, and a short note telling patients where to send medical questions.
Can I add my photo?
Yes. Upload a headshot in the editor. The template locks its size so it displays correctly in desktop Outlook as well as Gmail and Apple Mail.
Is this doctor signature template free?
Yes. The Clinical template is a free template, and free signatures carry no watermark.
